    The general ledger, banking, receivables, payables, fixed assets and the period close all sit in the finance core, with an audit trail that builds up as you go and VAT returns produced straight from the system. SAP Business One suits businesses of roughly 10 to 250 people, usually somewhere between £5m and £50m in turnover, that have outgrown accounting software and want one system covering the whole operation. It works particularly well where stock, manufacturing or distribution sit alongside finance, because those are the places spreadsheets tend to break first.

What does SAP Business One cost?

Implementations can range from £30,000 to £150,000, depending on how many people use the platform, how many parts of the business it covers and how much of your existing process needs to change. How it is deployed, and what runs underneath

SAP Business One can run on-premises, which means on servers at your own site. It can also run in a private cloud or be hosted by Codestone, and the choice usually comes down to data residency, how you prefer to pay and what infrastructure you already own. Underneath it you can run either the SAP HANA database or Microsoft SQL Server. HANA brings faster analytics but SQL Server is often the practical choice where your team already runs it. You do not need to know the answer now. The choice shapes your licensing, your upgrade route and how much of the running falls to your own people, so we will work through each option with you and agree the best one before your implementation starts.

Common questions

  • Is SAP Business One only for small companies?

    No. It works well from about £5m turnover upwards, and plenty of companies past £50m run it where operations are reasonably contained. The deciding factor is how complicated the operating structure underneath is, and Codestone can help you work out whether it is the right solution for you.

  • How long does an implementation take?

    For a straightforward single company, a few months. Several companies, non-standard processes or significant integration work will extend that. The timeline moves mostly on how ready your data is and how much time your own team can give it.

  • Can it work alongside the systems we already have?

    Yes. There is an open API and a service layer, and most implementations keep at least one specialist system in place, whether that is warehouse management, an ecommerce platform or a payroll provider. Integrating something that already works well usually beats replacing it for the sake of tidiness.

  • What happens after go-live?

    Support, and then the part that matters more, which is making sure the system keeps earning its place. That covers training gaps, usage reviews, new functionality as SAP releases it and regular conversations about what the business needs next.

SAP Business One 10.0 Feature Package 2608 brings generative AI directly into everyday business processes. The new Ask AI functionality lets users ask contextual questions from business documents, build reusable AI templates, and get immediate insights within the SAP Business One Web Client. AI-assisted SQL generation in User-Defined Queries also means business users can create powerful reports in natural language, without needing advanced SQL skills.
