What
SAP Business One covers
-
Finance and accounting
The general ledger, banking, receivables, payables, fixed assets and the period close all sit in the finance core, with an audit trail that builds up as you go and VAT returns produced straight from the system. If your first question is whether it can take over from the accounting package you have outgrown, the accounting system page goes through that in detail.
How SAP Business One works as an accounting system -
Sales, purchasing and stock
Quotes, orders, deliveries and invoices share their records with purchasing and inventory, so the person promising a delivery date and the person setting reorder levels see the same stock figure. Basic CRM comes included, which is enough for most businesses that do not want another platform to look after.

Production and planning
For manufacturers, bills of materials, production orders and material requirements planning are part of the standard system, and they handle assembly and batch production well. Heavily engineered production with complex routings usually needs an add-on or a larger system, and Codestone will tell you which during scoping.

Reporting, and trading in other countries
More than 150 reports and dashboards come built in and run on live data. When finance wants deeper analysis or planning, the same data feeds SAP Analytics Cloud or Power BI. If you trade abroad, SAP Business One is used in more than 170 countries, with localisations for more than 50 of them in 28 languages, covering local accounting and tax rules.

Is it the right size
for your business?
SAP Business One suits businesses of roughly 10 to 250 people, usually somewhere between £5m and £50m in turnover, that have outgrown accounting software and want one system covering the whole operation. It works particularly well where stock, manufacturing or distribution sit alongside finance, because those are the places spreadsheets tend to break first.
SAP Business One is a great choice for many growing businesses, and if your processes are more complex or your plans are especially ambitious, SAP S/4HANA may suit you even better. We’ll look at how you work today and where you’re heading, then decide together which option is right for you. Talk to us and we’ll help you find the right fit.

What does SAP Business One cost?
Implementations can range from £30,000 to £150,000, depending on how many people use the platform, how many parts of the business it covers and how much of your existing process needs to change. Our pricing page sets out the three package bands, what sits inside each one and what tends to move the number.
How it is deployed, and what runs underneath
SAP Business One can run on-premises, which means on servers at your own site. It can also run in a private cloud or be hosted by Codestone, and the choice usually comes down to data residency, how you prefer to pay and what infrastructure you already own. Underneath it you can run either the SAP HANA database or Microsoft SQL Server. HANA brings faster analytics but SQL Server is often the practical choice where your team already runs it. You do not need to know the answer now. The choice shapes your licensing, your upgrade route and how much of the running falls to your own people, so we will work through each option with you and agree the best one before your implementation starts.
Common questions
-
Is SAP Business One only for small companies?
No. It works well from about £5m turnover upwards, and plenty of companies past £50m run it where operations are reasonably contained. The deciding factor is how complicated the operating structure underneath is, and Codestone can help you work out whether it is the right solution for you.
-
How long does an implementation take?
For a straightforward single company, a few months. Several companies, non-standard processes or significant integration work will extend that. The timeline moves mostly on how ready your data is and how much time your own team can give it.
-
Can it work alongside the systems we already have?
Yes. There is an open API and a service layer, and most implementations keep at least one specialist system in place, whether that is warehouse management, an ecommerce platform or a payroll provider. Integrating something that already works well usually beats replacing it for the sake of tidiness.
-
What happens after go-live?
Support, and then the part that matters more, which is making sure the system keeps earning its place. That covers training gaps, usage reviews, new functionality as SAP releases it and regular conversations about what the business needs next.

Why businesses choose Codestone for SAP Business One
Codestone was the first SAP Business One Gold Partner in the UK and has been an SAP Gold Partner since 2003. The useful part is what sits behind it: enough businesses taken through this to know which bits of an implementation cause trouble, and to plan for them before they do.
We start with how your business runs, and the product demonstration comes later. We plan the project around what your team can absorb alongside the day job, because the implementations that overrun are usually the ones scoped as though nobody had another job to do. Once you are live, we stay, because getting value out of a system takes a lot longer than switching it on.

Businesses running SAP Business One with us
Consilient Health distributes pharmaceuticals and was running a legacy Sage finance system with no real materials planning, and forecasting done in spreadsheets held in several places. Once the system went live, it served users across the UK, Ireland, the Nordics and the rest of Europe, who used it to raise and approve purchase orders. Product information now sits in a single repository, with a real-time interface into their third-party logistics provider.
Taste Connection makes seasonings and flavourings and had recently been acquired by the Nactarome Group, which was already standardising on SAP Business One across its businesses. Codestone took them live on finance first, covering the sales cycle through to invoicing and VAT, with manufacturing planned for a later phase.
The CFO Centre, Totally Wicked, K2 Partnering Solutions, Priory Direct and TPS Rental Systems are all running SAP Business One with us as well.
